Writing a speculative letter

A speculative letter is the first contact you will have with a company and it is essential to make a good first impression. You will be approaching companies to enquire if they have any suitable vacancies currently, and it is important to demonstrate to the employer that you understand the nature of the sector you are applying for and to showcase your skills and abilities.

It is important to present the letter in the usual letter format, keeping it short, factual and relevant and ensuring that there are no grammatical or spelling errors. For example, if the roles being sought are in the catering sector, then it should be stipulated that this is what the letter is regarding. You may want to make this bold so that it stands out to a prospective employer. As you will not know who to address it to, it is best to state Dear Sir/Madam.

For example:

Sara Menez
19 Main Street
East Dulwich
SE22 4MT

17 March 2011

Dear Sir / Madam,

Re: Catering Vacancies

If the application is speculative, you will want to outline the type of work that you are seeking and reference should also be made to the CV so that the employer can find out more about what you can offer.

For example:
I am writing to enquire as to whether you have any current or upcoming Catering vacancies. Please see attached a copy of my Curriculum Vitae for your attention in respect of any vacancies that you may have in this area.

It is also recommended that you state why you want the job and how it would fit in with your career development.

For example:
I am interested in a catering career as I have experience of working in this field which I have found fulfilling and I am also studying an NVQ in hospitality which I believe would be advantageous to your Company.

Any relevant work experience that you can bring to the role should also be highlighted. It is important to remember that a speculative letter should not replace your CV but should summarise your suitability for a position within the company.

For example:
My most recent position involved working in a café as a Waitress which I did for two years, serving members of the public. The duties for this role were varied and included preparing and serving food, stock taking, menu planning, taking
orders from customers and taking payments and using the till. In this role I demonstrated the ability to work in a fast-paced environment, taking orders in a timely manner and with my meticulous organisational skills I ensured that all customers received an excellent level of customer service. I believe this experience would lend itself well to roles within your company.

It is important to highlight the relevant skills that would be of particular relevance to the roles sought. Don't be arrogant and keep it factual. You may want to tailor the letter to evidence any research you may have done on the company's goals and achievements or specifically why you want to work for them.

For example:

I am a friendly person who is able to adapt quickly to new and different settings and with my outstanding communication and customer service skills, I get on with people at all levels which is key in ensuring that customers enjoy their dining experience.

I am easy to talk to, I am patient and I possess a good sense of humour. I also understand the importance of delivering high standards of customer service and how essential it is to create a friendly and welcoming atmosphere for customers.

A further strength is my flexibility and my willingness to undertake all duties as required.

I believe that my past experience, coupled with my enthusiasm for catering and working with the public would prove invaluable to your Company, particularly as you have just been awarded the number three 'Best café in Birmingham' award.

I am also interested in working for your company as you promote ethical practises by using Fair Trade products which is important to me as an individual.

It is also important to outline when you are available for interview and to ask for the CV to be kept on file for any vacancies that may come up.

For example:

I am available for interview at your earliest convenience and would relish the opportunity to discuss my experience with you. If you do not currently have any vacancies, I would be grateful if you could keep my details on file should any
opportunities arise in the near future.

I look forward to hearing from you.

Yours faithfully,

Sara Menez
